The Brief

Valldata is appointed as the sole mail processing provider for the Disasters Emergency Committee and as soon as a disaster like the East Africa crisis strikes we have to work with speed and precision to get the appeal set up ready to process the first responses as soon as they land.

Our Solution

DEC confirmed that they would be launching an appeal to support East Africa on 4th July 2011. We had just 4 working days to ensure that the system was ready to begin processing postal responses. This entailed setting up a new bank account ready for processing cheques and cash donations and a new merchant ID with Servebase for processing credit cards as well as ensuring our systems and database tables were updated, ready for the new appeal.

We process four types of DEC response forms: direct mail donations from a warm list, appeal donations sent by the client from Head Office, newspaper coupons and donations by post generated by television and radio pleas for support.

Due to the nature of the appeal it was crucial that funds were banked in a timely manner and DEC has a service level agreement with us that assures all responses received are banked and exported within 3 days of receipt.

The Outcome

We successfully processed and banked over 51,666 donations in the first 10 days of the appeal launch.
