Ethiopiaid support projects in Ethiopia ranging from maternal health and women's rights to education, disability and the elderly. This is achieved through the support of local charitable partners that help people from the most marginalised aspects of society. Ethiopiaid’s goal is to see an Ethiopia free from poverty, in which every person has access to quality education, healthcare and a life of dignity.
When Ethiopiaid was looking for a new fulfilment supplier to provide tailored and efficient services to the small charity, Valldata was front of mind. As Christina Pierce-Winters, Fundraising Administrator for Ethiopiaid, explains, Valldata was an attractive option for several reasons: “We were looking to change suppliers and were interested in Valldata because of their reputation in the sector. Some of the characteristics that we were looking for in our search were security, professionalism and a personal service. Based on these aspects, we decided to trial one of our smaller appeals with Valldata.”
The Ethiopiaid test campaign, a Gift Aid appeal over the 2016 summer months, offers the perfect illustration of the speed in which Valldata can migrate new clients onto its services, a process known as on-boarding. Early engagement was critical to the project’s success, with the Valldata team working closely with Ethiopiaid to ensure all of the charity’s requirements were fully understood, from the response form right through to thanking supporters and data export. “From our initial meeting and throughout the on-boarding and appeal period we found Valldata a refreshing partner to work with,” comments Christina. “The team were really engaged with us in terms of wanting to know all about Ethiopiaid, what our appeal was about and how they could create the best trial possible. There was also a lot more communication in terms of contacting us with progress updates and seeking our opinions, which we greatly appreciated.”
Ethiopiaid was set up for service processing using Valldata’s standard implementation process, within which there is a standard documentation suite used to facilitate the smooth running of the project. The implementation was managed using a structured Project Management approach based on PRINCE2 – a process-based method for effective project management developed by the UK government and widely recognised and used in the public and private sectors, both in the UK and internationally. Valldata has tailored this method to effectively meet the needs of its on-boarding projects in a controlled and manageable way.
To enable the fast turnaround, Valldata used its Response Platform, which has been purpose-built as a flexible, robust and secure method of migrating and processing client data. As a result, Ethiopiaid was able to reap the benefits of a safe and smooth transition, with only a minimal amount of input. As with all of Valldata’s client campaigns, protecting the supporter experience was a key requirement of the trial, with the partnership-led approach taken with Ethiopiaid ensuring a zero-impact outcome.
Following the success of the test campaign, Ethiopiaid has taken the decision to migrate all of its fulfilment services for its active appeals to Valldata, with an official start date of February 2017. This includes donation processing, thanking supporters, data collection and Gift Aid.
The partnership is still in its infancy, but Ethiopiaid is enjoying the benefits of Valldata’s range of fulfilment services, and its commitment to client satisfaction. “It’s still early days but we’re finding the level of communication refreshing” comments Christina. “We greatly appreciate being able to access our supporters’ original responses through the online portal and enjoy using the portal to build current response figures. This allows us to see how our appeals are performing in real time.”
“If we have any questions, the team at Valldata is quick to respond with answers and methods for resolution and, thanks to the attentive level of communication and engagement that we receive, we already view them as a partner.”
Account Director at Valldata, Alec Wright, adds: “Following the success of the trial appeal and the close engagement that took place with Ethiopiaid on their key requirements, we were naturally delighted when they made the decision to join us in an ongoing client relationship.
“This is a testament to a combination of the highly effective “try-before-you-buy” proposition we offer, and the speed with which we can deploy our response platform – in this case just three weeks – which is ideal for charities of all sizes across the UK. By using our tried and tested standard on-boarding process, the Ethiopiaid team was able to focus on what really mattered to them – the success of their appeal.”
